Position Summary
Concord Community Music School seeks an enthusiastic and detail-oriented individual to join our team. The Administrative Specialist serves as a central hub for organizational operations, serving in a front office role and performing support tasks for the School’s administrative departments.
The administrative specialist acts as a primary point of contact for faculty, staff, parents, students, and the public. They accurately and efficiently help maintain digital systems and contribute directly to the organization’s mission by helping to create a seamless and welcoming experience for all constituents.
The Administrative Specialist is a full-time, non-exempt hourly employee who reports to the Director of Student Services and works closely with the Director of Programs, Director of Finance, and staff across development and marketing. The position will begin in summer 2026.
Schedule
This position is onsite and full-time. The schedule will be determined in the hiring process.
Responsibilities and Duties
Front Office & Customer Experience
- Serve as the first point of contact for faculty, staff, students, families, and the public (in person, by phone, and via email), providing professional, welcoming, and responsive customer service.
- Maintain a positive and organized reception environment that reflects the values of the Music School.
- Assist faculty and students with music copying, printing and organization.
Student Registration & Data Management
- Support student registration including data entry, account updates, and assisting families with enrollment processes.
- Maintain accuracy of student records and assist with reporting and data tracking across programs.
- Provide front-line support for student database systems and troubleshoot basic user issues.
- Build and maintain familiarity with the Music School’s programs.
Finance & Payment Processing Support
- Collect and process payments for tuition, tickets, donations, merchandise, and rentals.
- Prepare and log daily deposits in accordance with internal financial controls.
- Assist the Director of Finance with routine financial tracking, reconciliation support, and administrative finance tasks.
Development & Marketing Support
- Assist with mailings, donor acknowledgments, and basic development data entry.
- Support marketing efforts through maintaining mailing lists, preparing promotional materials, and assisting with event logistics.
- Help ensure accuracy of public-facing information including calendars, program listings, and event details.
Operations & Administrative Coordination
- Maintain the organizational calendar, ensuring accurate scheduling, room usage, and daily readiness for programs and events.
- Coordinate building use requests for students, faculty, and external groups in collaboration with program staff.
- Manage office operations including mail, supplies, inventory, and equipment.
- Coordinate hospitality and setup for meetings and events.
- Assist with special projects and cross-departmental initiatives as needed.
Facilities & Closing Responsibilities
- Ensure proper setup and signage for daily and weekend activities.
- Depending on schedules, secure the building at the close of each working day, following established protocols.
- Perform other related duties as assigned.
Required Qualifications & Skills
- Strong interpersonal skills with the ability to create a welcoming and inclusive environment for all constituents.
- Ability to manage multiple responsibilities across departments in a fast-paced environment with frequent interruptions.
- Strong organizational skills and attention to detail, especially with data entry and financial processes.
- Proficiency with Microsoft Office, Google Suite, and Adobe products.
- Comfort learning and using databases and CRM systems.
- Experience with payment processing systems and basic financial procedures preferred.
- Ability to problem solve, prioritize tasks, and adapt to changing needs while maintaining a calm and positive attitude.
- Customer service experience strongly preferred.
- Musical background is not required, but a plus!
Physical Requirements
As this position is primarily administrative, the Administrative Specialist must be able to sit or stand for extended periods while working at a computer. Occasional lifting of up to 40 pounds may be required. Must be able to walk or drive short distances (up to a quarter-mile).
Salary & Benefits
This is a full-time, non-exempt hourly position. Compensation range is $19-22 and commensurate with experience. Health, dental and long-term disability is offered, along with a 50% tuition discount.

The Concord Community Music School is a community arts organization with a mission of artistic excellence and access for all. More than 50 teaching artists work with 1400 students weekly, age 6 months to 93 years, in lessons, early childhood classes, ensembles, choruses and community partnerships with human service agencies, schools and healthcare providers. Faculty members, guest artists and students perform and present more than 150 public concerts and workshops annually.
